Integration and API Services

Custom CRM Development

A CRM built around your sales process: pipeline, contacts, quotes, follow-ups, dashboards and the integrations you need, with no per-seat fees. You own the code and the data. From $2,500.

Custom CRM Development Services

Custom CRM development is for businesses whose sales or service process does not fit HubSpot, Salesforce or Pipedrive without workarounds, and for teams that have grown tired of paying per seat for features they never use. We build a CRM around the way your team already works: your pipeline stages, your quote and approval rules, your documents and the tools you already rely on. You own the code and the data, and every new hire costs nothing extra.

A lean custom CRM starts from $2,500 and takes six to eight weeks. For a fifteen-person team that is usually a fraction of three years of per-seat licences; our custom CRM vs HubSpot vs Salesforce cost comparison shows the numbers. When an off-the-shelf CRM is the better fit, we say so and set it up properly instead.

What a custom CRM can include

  • Contacts, companies and deals with the fields your business actually uses, duplicate detection and a full history of calls, emails and notes.
  • A pipeline board with your own stages, probabilities, owners and reminders, plus list and calendar views for the team.
  • Lead capture from website forms, landing pages, ads and chat, routed to the right person automatically.
  • Quotes, proposals and invoices generated from deal data as PDF, with approval steps and e-signature if you need them.
  • Tasks and follow-ups created by rules, so no lead waits more than a day for an answer.
  • Email and calendar sync with Google Workspace or Microsoft 365.
  • Dashboards and reports for revenue, conversion by source, sales cycle length and team activity.
  • Roles and permissions for sales, managers, finance and partners, with an audit log of changes.
  • A client portal where customers see their orders, documents and project status, when it makes sense.

When a custom CRM makes sense

A custom CRM pays off when per-seat fees grow with the team, when your process needs logic that off-the-shelf tools only fake with add-ons, or when the CRM has to sit inside your own product or operations.

  • You have ten to fifteen or more users, or expect to soon.
  • You already pay for a higher plan mainly to get workflows, custom objects or reporting.
  • Your team keeps a spreadsheet next to the CRM because the CRM cannot hold what they need.
  • You need the CRM to talk to your own systems: a booking engine, a production database, a WooCommerce or Shopify store, or an internal tool.
  • Data ownership or location matters to your clients.

If none of these apply, a well-configured HubSpot or Pipedrive with a few CRM integrations is usually the cheaper and faster option, and we will recommend that.

How we build it

  1. Discovery (1–2 weeks). We map your pipeline, roles, documents and integrations, and agree what goes into the first version. You receive a fixed estimate.
  2. Design (1–2 weeks). Pipeline, contact card and dashboard screens in Figma, tested with the people who will use them every day.
  3. Build (3–8 weeks). Weekly demos on a staging site; real data is imported early so the team can try the CRM on their own deals.
  4. Migration and launch. Contacts, deals and history are moved from your current CRM or spreadsheets, the team is trained, and the old tool is switched off when everyone is ready.
  5. Support and growth. Hosting, backups, security updates and a monthly allowance for improvements as your process changes.

We build CRMs as web applications on Node.js with a React or Next.js interface, a PostgreSQL or MySQL database and role-based access, hosted on infrastructure in your name.

What it costs

A lean CRM with contacts, deals, a pipeline board, tasks and website lead capture starts from $2,500. Quotes, email sync, dashboards and two or three integrations add to that, and a CRM with a client portal and complex permissions is quoted as a web application from $7,000. Hosting and support usually cost from $50 a month. There are no per-user fees. Every project starts with a fixed estimate broken down by feature, so you can launch a smaller first version and grow it.

FAQ

Questions about this service.

Anything else we can cover on a short call.

How much does a custom CRM cost?

A lean CRM with contacts, deals, a pipeline board, tasks and website lead capture starts from $2,500. Quotes, email sync, dashboards and integrations add to that; a CRM with a client portal is quoted from $7,000. Hosting and support usually cost from $50 a month, with no per-user fees.

How long does it take to build a custom CRM?

A first version is usually ready in six to eight weeks; a CRM with quotes, email sync and several integrations takes two to four months. We launch the core first and add features in small releases.

Is a custom CRM better than HubSpot or Salesforce?

Not always. For a small team with a standard pipeline, HubSpot or Pipedrive is faster and cheaper to start. A custom CRM pays off when per-seat fees grow with the team, when your process needs logic the tools cannot handle, or when the CRM must work inside your own systems.

Can you move our data from our current CRM or spreadsheets?

Yes. Contacts, companies, deals, notes and files are imported from HubSpot, Salesforce, Pipedrive, Zoho or spreadsheets, checked for duplicates, and verified with your team before the switch.

Who owns the CRM and where is it hosted?

You do. The code repository, database and hosting account are in your name, and the system is documented so any developer can continue the work.

Process

How a project runs.

Five stages, each with something you can see and approve. No surprises at the invoice.

  1. Brief

A short call or form: goals, audience, scope. You get a clear plan and an agreed scope.

  2. Design

Wireframes, then layouts in Figma. Nothing is coded until you approve them.

  3. Development

Theme, plugins or a custom app built on the approved design. Progress at every milestone.

  4. Testing

Functionality, browsers and devices, performance and security checks before anyone else sees it.

  5. Launch & support

Deployment, migration and documentation, then a maintenance plan if you want one.
